Purchasing Associate


We are looking for a Purchasing Associate to manage purchase requests and to process purchase orders, to research goods and services, and identify suppliers. Purchasing Associate responsibilities include following negotiations, promoting cost reduction and cost sharing actions, dealing with all departments. The Purchasing Associate oversees the coordination of repairs and maintenance as it pertains to the facility and corporate assets, liaises with RSPP (safety advisor) for drafting and implementing safety procedures and documents and ensures that such measures are duly applied (e.g. DUVRI, safety procedures), coordinates the organization of all company training programs, taking care of any logistic details.

Essential functions

- Cultivate a strong customer service culture in your function
- Apply a sense of urgency, commitment and focus on the right priorities
- Understand the various needs, strategies, and objectives of internal customers
- Manage the planning, ordering and delivery of various components, products and services to ensure on-time delivery across all levels of the organization
- Work closely with internal teams to develop new sources of supply
- Proactively scouts and proposes new supplies and better agreements
- Prepare cost price analysis for various supplier agreements and projects

General purchases
- Preparing and processing purchase orders for production department
- Monitoring inventory levels and determining purchase needs.
- Preparing and processing purchase orders for office supplies and stationery, computer equipment and related accessories, any items for working purposes such as: office furniture, IT tools and devices, phones, business cards, navigation instruments, meal vouchers, health insurance for associates
- Review of contracts for ordinary and extraordinary expenses related to the facilities and utilities: electricity, water, waste management, cleaning, vending machines, security, maintenance technician
- Review of contracts for Navionics’ associates, such as meal vouchers, health insurance for associates and benefits
- Scheduling and verifying purchase deliveries
- Researching and comparing suppliers, goods, and services
- Selecting the most suitable suppliers in terms of reliability, product quality, and cost-efficiency
- Requesting cost proposals and negotiating contracts and prices

Facility management
- Coordinate all aspects of the maintenance of the building (electrician, plumber, fixtures expert, cleaning company, etc.)
- Coordinate the organization of the company space (workstations positioning, moving etc.)
- Support in company building remodeling and maintenance management (keep relation with: Geometra, engineer, electrician, plumber, painters, Safety advisor etc.)
- Management of contracts connected to the utilities (electricity, gas, water, sanitation, waste disposal, etc.)
- Company car fleet management and assistance (ordinary and extraordinary maintenance to cars) and monitoring and renewal of long-term rental contract
- Purchasing and administrative support to the Navionics’ Captains in relation to the corporate boat

Training organization, health & safety activities coordination
- Liaise with RSPP (safety advisor) to ensure that safety measures are applied
- Set up of the logistics for the organization of associates training programs
- Support HR in planning and managing all training classes (mandatory and elective) and mandatory medical checks

Other responsibilities
- Maintain appropriate files, databases, travel related information and prepare reports as requested
- Attend and participate in meetings, training classes, presentations, and seminars that pertain to assigned responsibilities
- Perform other job-related duties as assigned
- Support all procurement activities as assigned during absence of peers or management

Education, experience and skills required
- University degree and a minimum of 3 years work experience performing substantially similar essential functions or equivalent combination of education and work experience
- Experience in spending within a defined budget
- Demonstrates proficient knowledge of English language
- Demonstrates strong and effective verbal, written, and interpersonal communication skills
- Demonstrates broad knowledge of facilities systems and operation
- Proficient computer skills in Microsoft Word, Excel and PowerPoint, and ERP’s software
- Must be team-oriented and possess a positive attitude
- Must be detail-oriented
- Must work proactively and effectively with minimal supervision
- Must have high skills in problem solving
- Ability to prioritize and multi-task in a flexible, fast paced and challenging environment
- Availability to travel
